Library Card Application

Faculty and Staff on the Regular Payroll

Apply in person at the Library Service Desk (1st Floor, Wushan Campus Library; 2nd Floor Lobby, University Town Campus Library) with your ID card and Campus Card. Borrowing privileges are activated on your Campus Card upon verification.

Full-time Students

1. Relevant departments will provide a paper copy of the Freshmen Roster:

Graduate student roster: Provided by the Graduate School;

Undergraduate student roster: Provided by the Academic Affairs Office;

International student roster: Provided by the School of International School of Education;

New student rosters for College of Continuing Education , and Online Education College: Provided by each respective college.

2. Process is centralized. The Library activates borrowing privileges based on official student rosters provided by the relevant academic offices. No individual application is required.

Part-time Professional Master's Students (Including Master of Engineering, Master of Landscape Architecture, Master of Public Administration, Master of Laws, etc.)



Borrowing privileges are activated collectively by class/cohort. Please coordinate with your program administrator.

New Professional Master's Students (e.g., Master of Software Engineering)

Students from Continuing Education College, Open College, and Online Education College

International Students

Visiting Scholars

Apply with a visiting scholar certificate, letter of appointment, and ID card. A refundable deposit is required.

External Readers (collaborators on registered university research projects)

Apply with a formal letter of introduction from your institution, employee ID card, and personal ID card. Application is subject to approval by library management.

A library card (for borrowing) or a reading card (for in-library use) can be applied for as needed.

Applicable card production, service, and deposit fees apply.

Library Card Renewal

1. All library cards have an expiry date.

2. Faculty & staff: Before your card expires, bring your Campus Card and employee ID to the Library Service Desk for verification and renewal.

3. Students: Before your card expires, bring your student ID and Campus Card to the Library Service Desk. Your current enrollment status will be verified. Please bring any necessary documentation (e.g., re-enrollment proof for returning students).

Library Card Cancellation and Replacement

1. All borrowed items must be returned. For faculty, staff, and students, the Campus Card is deactivated through the standard university departure process.

2. Postdoctoral researchers must submit an exit report upon departure; graduate students must submit both hard copies and electronic copies of their theses before processing library card cancellation at the Library Card Office. The special seal for library card services will be affixed to the departure notification form.

3. Faculty/staff admitted to full-time graduate programs at our university, and undergraduates/masters pursuing master's/doctoral degrees at our university must apply for a library card replacement. The Library Card Office will activate the borrowing function of the new card in accordance with relevant regulations. Only one active library card per person is permitted.

4. In cases of death or other exceptional departures, a family member or unit representative frome the institution must settle the account (return all items) on behalf of the individual.

Library Card Invalidation

A library card becomes invalid immediately if:

1. It has been reported lost.

2. The holder’s affiliation with SCUT has ended (e.g., resignation, graduation).

3. The card is damaged, altered, or information (barcode, name, photo) is illegible.

4. The holder is deceased.

Policy on Misuse of Library Cards

1. The library card is for personal use only and shall not be transferred to others.

2. Fraudulent Use: Using another person’s card or an invalid card will result in confiscation of the card and a significant financial penalty. The penalty is calculated as 10-20 times the replacement cost of all items involved (both unreturned and any attempted new borrowings). The relevant university department will be notified.

3. Lending Your Card: If you lend your card to someone else, both parties will face consequences: cards will be suspended for one month, and each person must pay a penalty fee. The card owner is liable for all consequences arising from its misuse.
